How to switch to electronic invoices — a practical guide
Step by step: from paper invoices to fully electronic invoicing via Peppol. A practical guide for small and medium-sized businesses.
You can switch to electronic invoices in a single afternoon: create an account, fill in your company details, activate Peppol and issue your first invoice. Signing up takes under 2 minutes and is free. Below is the whole process step by step, with tips on what to avoid.
Why switch to e-invoices?
- Time savings — no printing, scanning or posting.
- Cost savings — no paper, envelopes or postage.
- Faster payments — the customer receives the invoice instantly.
- Automation — import into your accounting system without manual retyping.
- Legislation — preparation for mandatory e-invoicing from 2027 (Act No. 385/2025 Coll.).
Step 1: Create an account
Sign up at efakturia.sk. Signing up is free and takes less than 2 minutes.
Step 2: Set up your company details
Fill in your Company ID (IČO) (the system automatically fills in the name, Tax ID (DIČ) and address), your IBAN and the invoice number prefix. These details will be filled in automatically on every new invoice.
Step 3: Create your first invoice
Click "New invoice", fill in the customer's details (the Company ID is enough — the system fills in the rest) and add line items. The invoice is automatically created in both PDF and UBL format.
Step 4: Send the invoice
You can send the invoice in several ways:
- Peppol — a certified postman delivers it to the customer and reports it to the Financial Administration (Finančná správa) (the mandatory method from 2027).
- Email — the traditional way, with a PDF attachment.
- Shared link — a unique URL for viewing and downloading the invoice.
Step 5: Track the status
On the dashboard you can see the status of every invoice — whether it was delivered, opened and, above all, paid. The system automatically alerts you to overdue invoices.
Step 6: Activate Peppol
In the Peppol section, activate your company's registration in the network. Once activated, you will be able to send and receive e-invoices with any company in the Peppol network — automatically, without manual processing.
Tips for a smooth transition
- Start with one customer and add more gradually.
- Set up automatic payment reminders for unpaid invoices.
- Use the API or webhooks to integrate with your ERP system.
- Export invoices to Pohoda XML if you use Pohoda.
